Privacy policy
This policy explains how Brackenhall Community Trust handles personal information on northfieldhall.co.uk. The short version: we collect as little as we can, we use it only to do what you asked us to do, and we do not track you.
Who we are
Brackenhall Community Trust is a registered charity, number 1123920, which owns and runs Northfield Hall, 40 Norfolk Avenue, Huddersfield HD2 1GS. The Trust is the data controller for the information described here. You can reach us at info@northfieldhall.co.uk or through the contact page.
Cookies and tracking
This site sets no tracking cookies and uses no advertising or profiling technology. That is why there is no cookie banner.
We measure how many people visit using Cloudflare Web Analytics. It is cookieless, it does not follow you between websites, and it does not identify individual visitors. It tells us how many people looked at the hire page. It does not tell us who they were.
What we collect, and why
Booking enquiries. When you send a booking enquiry we collect your name, email address, phone number, the type of event and whatever you write in the enquiry box. We use these to answer your enquiry and, if you go ahead, to arrange and manage your booking. Our lawful basis is legitimate interests: running the hall and replying to people who contact us about hiring it.
Contact messages. When you use the contact form we collect your name, email address and message, and use them only to reply to you.
Confirming who is hiring the hall. For a first booking we may ask to see photographic identification, to confirm that the person booking is over 18 and that the contact details are right. We check the document and record that the check was done. We do not keep copies of your identity documents. This is described in our bookings policy.
We do not use any of this for marketing, and we never sell it or pass it to anyone else for their own purposes.
Where it is held
Enquiries and contact messages sent through this website are stored in a Cloudflare D1 database, hosted by Cloudflare, who also host the site. A copy of each one is emailed to the Trust through Resend, an email delivery service. Both act on our instructions only, and both hold the data within the United Kingdom and the European Economic Area.
Who can see it
The enquiry list is behind a password. Access is limited to the trustees and the bookings coordinator who need it in order to answer enquiries and run bookings, and the Trust keeps a record of who has it.
When a volunteer, trustee or coordinator stands down, their access is withdrawn and the shared password is changed. That is done as part of the handover, not afterwards.
How long we keep it
- Enquiries that do not lead to a booking: up to 12 months, then deleted from the database.
- Bookings and the records that go with them: up to six years after the hire, so that we can deal with any query, claim or audit. This matches the period the Trust keeps its financial records.
- Contact messages: deleted once the conversation is finished.
Deleting a record from the database does not delete the copy that was emailed to us. Those are removed from the Trust’s mailbox on the same timetable.
Donations
Donations are handled by Zeffy, a donation platform, which processes your payment. The details you enter there go to that platform, not to this website, and its own privacy policy applies. We never see or store your card details.
Your rights
You can ask us to show you the personal information we hold about you, correct it, delete it, or restrict what we do with it. You can also object to us holding it on the basis of legitimate interests. To do any of these, contact us and we will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113. We would rather you told us first, so that we can put it right.
Children
This website is not aimed at children and we do not knowingly collect information about them through it. Bookings must be made by someone aged 18 or over.
Our data protection registration
Brackenhall Community Trust Ltd is registered with the Information Commissioner's Office as a data controller. Our registration number is ZC233996. Check the register.
Changes
If we change how the site handles personal information, we will update this page and the date below.
